What Our Company Does

Step One

All accounts received for collection are entered either manually or electronically onto our system. The accounts are the processed for matching against our vast database of over 250,000 active, paid or archived files.  Our high matching rate of 75 - 80% enhances the collectibility of your accounts.  On the same day that we set up the account we send out our first notice, which is mandated by the Fair Debt Collection Practices Act.  For your verification we send out an acknowledgement stating the name and amount owed.

Step Two

We send at least three notices on all accounts. After the dunning cycle our collectors attempt to call all accounts. We place no limits on the number of phone calls that our collectors make for each account.
The collectors call until the consumer is reached or the account is deemed uncollectible. Our collectors will then try to obtain payment in full. Our sources of payment are money orders, checks, cash, checks by phone and credit cards.  We offer the consumer the opportunity to go directly online to make payment. During this process of speaking with consumers our collectors try to obtain information to pursue possible legal action for those who refuse to make payment arrangements. By obtaining work information a collector can increase collections by as much as 50%. This is why we constantly tell our clients the more information on your patients the higher the collection ratio is for that account.

Technology

CAPITOL CREDIT SERVICES, INC. utilizes the CRS collection software system. It allows for an unlimited amount of users to give our office the ability to grow as our company does without the costly expense of an upgrade. The CRS system provides numerous reports for our clients. Computer generated acknowledgement of accounts, status reports on individual accounts and analysis reports to measure and track our collection performance to name just a few. This system also has the capability to tailor special reports for our clients. The system also integrates with our letter printing service, our skiptracing system, and our predictive dialing system so that all of our systems are fully streamlined for the utmost productivity. Capitol Credit Services, Inc. also utilizes a predictive dialer along with a completely automated voice synthesized calling system. This system allows our company to guarantee more contacts on your accounts than agencies who do not use this technology. Our voice synthesizer can even make interactive calls when the office is closed! This technology is crucial in today’s market when trying to “do more for less”!

Step Three

If the collector gets a promise to pay they will mark the computer to automatically come up if payment is not received. All accounts are on the computer to effect efficient follow up. Follow up is the key to successful collections. We use the latest industry software to collect delinquent accounts. Our collector will attempt to call the consumer. If the consumer is not reached by phone then the collector will send out a past due notice. Since our computer logs the time we can set the account to be called at different times during the day or night.

Step 4 Skip Tracing
